User Permissions Overview
Administration > User Permissions
A User is someone (a staff member or provider) who will require access to the database. This is distinct from an Employee, whose time on a case may need to be recorded in the database, but who does not necessarily need access to the database.
Each User in the system is granted specific permissions with access levels that allow them to Retrieve, Create, Save, and/or Delete records within each form and function.
User Permissions are created using 2 methods: User Profile and User Role.
The User Profile form allows permissions to be assigned individually or by assigning users to a Role.
The User Roles form allows the creation of User Roles. which can then be assigned to multiple users via the User Profile.
Access Levels
When functions are assigned, they default to full access. This is indicated by all check boxes being checked, as shown below.
- Retrieve allows look up of records (retrieving information). When ONLY Retrieve is selected, this is considered View Only (Read Only) permission.

- Create allows adding a new record or saving an existing record. When Create is selected, Retrieve and Save are also checked by default.

- Save allows saving a record. If ONLY Save is selected, then the Retrieve is also checked by default and ONLY allows editing (updating) existing records. (See Create for saving new records).

- Delete allows deletion of records, given they are not attached to other records. When Delete is clicked, Retrieve is also selected by default.
